In today’s podcast episode, we share all of your crazy event stories! While most of these are extreme circumstances, it’s true that there are so many unknowns at events. More than likely, something will happen at an event that you weren’t expecting. It’s just about being quick to figure out a solution! In the words of Kaley, “Sometimes you’ve gotta pivot like it’s 2020.”
We recommend always having a plan for every single event. Whether a planner is involved or not, make sure that you get all the details needed so that the day-of drop-off is seamless! This is one reason why renderings are so helpful. It helps your team know the exact placement of each item that way there are no questions when they get there. Being in the event industry, you have to be prepared for the worst. There are things we can’t control like weather, for example, that are going to get in our way at some point or another. One thing that we always are prepared for is damaged rentals. We try our best to be as careful as possible with our rentals, but accidents happen! This is the exact reason why we always keep our Toolbox Kit with us at every event! This kit is filled with everything you may need in case a rental item were to break, get stained, etc. We would much rather be prepared and nothing go wrong, than something go wrong and not be prepared!
When worst comes to worst, at least you have other vendors who are in the same boat as you! In our podcast episode, we told one story about a cake crumbling during travel and the florist being able to add in a few blooms to fix the cake. When things go wrong, don’t be afraid to ask for help from the other vendors involved. Everyone has the same goal – for the event to be a hit and for the clients to be as happy as possible! Even if everything is going seamlessly, be there for the other vendors, lend a helping hand, and make connections along the way.
When it comes down to it, you really can only do the best with what you have. Being helpful and having a good attitude when things get stressful can really go a long way. Some things are completely out of our control! We once were a part of a 1,000-person corporate event & had to change venues due to rain in a little under 3 hours. As Ross Geller would say, sometimes you’ve got to “PIVOOOTTTT!” We wouldn’t have chosen for the 3-hour venue change, but in the end, the clients were extremely happy that we were able to pull it together for them & we made a great connection.
Moral of the story, things might go wrong and that’s okay! Just have a plan, be prepared, and get ready to pivot when needed.
